Privacy Policy
This Privacy Policy describes how AuditPilot LLC (“AuditPilot,” “we,” “us”) collects, uses, and shares information in connection with https://getauditpilot.com and related pages (the “Site”), including waitlist / quote / Manual Claim Pack forms that collect email.
1. Notice at collection (summary)
At or before collection on Site forms, we collect:
| Category (CPRA terms) | Examples | Purposes | Sold? | Shared for cross-context behavioral advertising? | Retention (criteria) |
|---|---|---|---|---|---|
| Identifiers | Name (if provided), email address, company / seller name, phone (if provided) | Respond to inquiries; waitlist; quote / Manual Claim Pack intake; service communications; fraud/security | No | No | Keep while relationship active, then up to 24 months after last contact unless longer needed for legal / dispute / tax |
| Internet / commercial activity (Site) | Pages viewed, referrer, approximate location from IP, device/browser type, form submit metadata | Operate and secure the Site; measure basic traffic; debug | No | No | Typically 13 months or shorter in analytics tools; security logs up to 12 months |
| Customer records / business info (if you become a customer) | Contract, billing contact, Amazon-related service data under separate Terms | Provide Services under Seller Terms; billing; support | No | No | Per Seller Terms / legal retention (fees, disputes, Amazon audit) |
We do not knowingly collect sensitive personal information via the Site waitlist/quote forms. We do not sell personal information. We do not share personal information for cross-context behavioral advertising as those terms are used under California law. If that changes, we will update this Policy and provide required opt-out links before doing so.
Full policy: this page. Do Not Sell or Share: not applicable while we do not sell/share (see §6).
2. Sources
- You (forms, email, chat)
- Your devices / browsers when you use the Site
- Service providers that process data for us (hosting, email delivery, security) under contract
- If you connect Amazon later: Amazon Selling Partner data under our Seller Services Terms and Amazon’s policies (separate from Site waitlist email)
3. How we use information
- Provide, operate, and improve the Site and Services
- Respond to waitlist, quote, and support requests
- Send service / transactional messages; limited commercial email only where allowed
- Security, fraud prevention, debugging
- Legal compliance and enforcing agreements
We do not sell your email list. We do not use Site form emails to train public AI models.
4. Cookies / analytics
We may use essential cookies and limited first-party or privacy-respecting analytics necessary to run the Site. We do not load third-party ad pixels that sell/share personal information for cross-context ads unless this Policy is updated first. Processors used for Site delivery today include Vercel and Cloudflare (see §5).
5. Sharing
We share personal information only with:
- Service providers / processors under contracts (or equivalent terms) limiting use to providing their service to us, including today:
- FormSubmit (formsubmit.co) — waitlist / contact forms post to FormSubmit, which emails submissions to our team inbox (currently the Chairman/operations inbox we designate)
- Hosting / CDN — Vercel and Cloudflare for Site delivery and security
- Email / security / payment processors if/when enabled
- Professional advisors (legal, accounting) under confidentiality
- Authorities when required by law or to protect rights/safety
- Successor in a merger/sale of AuditPilot LLC, subject to this Policy
We do not sell personal information.
5A. Amazon / SP-API seller data (when connected)
If you later authorize AuditPilot via Amazon SP-API (or provide export files for Manual Claim Pack), Amazon selling-partner data is processed under our Seller Services Terms and Amazon’s SP-API Acceptable Use / Data Protection policies — not under the Site waitlist alone. Uses: identify/prepare reimbursement claim packs for your account; billing; support; security/compliance. We do not sell Amazon Information. Retention/deletion follows the Seller Terms (generally revoke tokens and delete or anonymize Amazon-derived data within ~30 days after disconnect, except fee/dispute/legal/Amazon-audit records under restricted access). MVP: read-only SP-API; you file in Seller Central.
6. California residents (CCPA / CPRA)
If you are a California resident, you may have rights to: know/access, delete, correct, opt out of sale/sharing (we do not sell/share today), limit use of sensitive PI (we do not use Site data for incompatible sensitive purposes), and non-discrimination for exercising rights.
How to exercise: email [email protected] with “California Privacy Request,” your email used on the Site, and the request type. We will verify using the email on file and respond within the time CPRA requires. Authorized agents: follow CPRA agent rules; we may require proof of authority and consumer verification.
Notice at collection: see §1 (also linked from Site forms).
Categories collected in prior 12 months: Identifiers; Internet/commercial activity; Customer records if you became a customer — as in §1.
We do not sell or share personal information as defined by CPRA.
Minors: we do not knowingly collect personal information from consumers under 16 for sale/share.
7. Other US state privacy rights
Residents of certain other states may have similar rights. Email [email protected]; we will handle in good faith consistent with applicable law.
8. Security
We use reasonable administrative, technical, and organizational measures appropriate to the data (access controls, encryption in transit for the Site, least-privilege). No method is 100% secure.
9. Children
The Site is for businesses / adult sellers. We do not knowingly collect personal information from children under 13 (or under 16 where relevant). Contact us to delete if you believe we collected such data.
10. Retention
See §1 table. When no longer needed, we delete or de-identify, except where law, disputes, tax, or Amazon audit requirements require longer retention under restricted access.
11. Changes
We may update this Policy by posting a new version with an updated “last updated” date. Material changes affecting Site collection will be highlighted and, where required, notified at collection points.
